2 Information we collect

Information you give us

When you contact us through the website, email us, book a call, sign up for the podcast or our updates, or engage us for a service, you may share:

  • Identity and contact details: your name, work email address, phone number, job title, and the organisation you work for.
  • The content of your enquiry: anything you choose to tell us about your current setup, your requirements, or your question.
  • Service and account information: where you become a client, the information we need to scope, deliver, support, and invoice for our services.

Information we collect automatically

When you visit the website, our hosting provider and infrastructure collect limited technical information for security and reliability. This can include your IP address, browser type, the pages you view, and the date and time of your visit.

With your consent, we also use analytics and visitor-identification tools. Analytics helps us understand how the site is used. Our visitor-identification tool, Leadfeeder (Dealfront), uses network information such as your IP address to identify the organisation you are visiting from, so our team can follow up in a relevant way. This identifies organisations, not you as a named individual. None of these tools run until you allow them, and how they use cookies is explained in our Cookie Policy.

We do not ask for special category data (such as health, religion, or political views) and we ask that you do not include it in your enquiries. We do not knowingly collect data about children through this website.

3 How we use it, and our lawful basis

Under the GDPR and UK GDPR we must have a lawful basis for each way we use your data. The table below sets out what we do and the basis we rely on.

What we doWhyLawful basis
Respond to enquiries and requests To answer your question and, where relevant, understand whether we are a fit for your organisation Legitimate interests, or steps taken at your request before entering a contract
Provide and support our services To deliver, manage, and support the services you have engaged us for Performance of a contract
Send occasional updates, insights, or podcast notifications To keep you informed where you have asked us to, or where you are an existing client and the content is relevant Consent, or legitimate interests
Measure site usage and identify visiting organisations To understand how the website is used and which organisations are interested, so we can improve the site and follow up Consent
Keep the website secure and working To protect the site against misuse and to diagnose problems Legitimate interests
Meet legal, tax, and accounting obligations To comply with the law that applies to our business Legal obligation

Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights, and we have concluded they are not. You can object to this processing at any time. Where we rely on consent, you can withdraw it at any time without affecting anything we did before you withdrew it.

4 Who we share it with

We do not sell your personal data. We share it only where it is necessary to run our business, and only with providers who process it on our behalf under a written data processing agreement that meets the requirements of Article 28 of the GDPR. These include:

We may also share data with professional advisers, and with authorities or regulators where we are required to by law. If our business is reorganised or transferred, data may be shared as part of that process, subject to the same protections set out here.

5 International transfers

Our default position is to process and store personal data within Ireland and the European Economic Area. Some of the providers above may, however, process data outside the European Economic Area or the United Kingdom. For example, Google may process analytics data in the United States. Where that happens, we make sure an appropriate safeguard is in place, such as an adequacy decision by the European Commission or the UK Government, including the EU-US and UK-US Data Privacy Framework, or Standard Contractual Clauses together with the UK Addendum or the UK International Data Transfer Agreement. You can ask us for more detail on the safeguards that apply.

6 How long we keep it

We keep personal data only for as long as we need it for the purpose we collected it, or for as long as the law requires. As a general guide:

  • Enquiries that do not become clients: retained for a reasonable period so we can follow up, then deleted.
  • Client records: retained for the life of the relationship and for a period afterwards to meet our legal and contractual obligations.
  • Financial and tax records: retained for the period required by law.

When we no longer need your data, we delete it securely or anonymise it.

7 Your rights

Under the GDPR and UK GDPR you have the right to:

  • Be informed about how we use your data, which is the purpose of this policy.
  • Access a copy of the personal data we hold about you.
  • Rectification of data that is inaccurate or incomplete.
  • Erasure of your data in certain circumstances.
  • Restrict how we use your data in certain circumstances.
  • Data portability, to receive your data in a portable format.
  • Object to processing we carry out on the basis of legitimate interests, and to direct marketing at any time.
  • Withdraw consent at any time where we rely on it.

We do not use your data for automated decision making that produces legal or similarly significant effects. To exercise any of these rights, contact us using the details below. We will respond within one month, and there is normally no charge.

8 How we protect it

Security is central to what we do, and we apply the same discipline to our own data. We maintain technical and organisational measures appropriate to the risk, including access controls, encryption in transit, and supplier due diligence. Our operations are certified to recognised standards, including ISO 27001:2022, ISO 9001:2015, and Cyber Essentials. No system can be guaranteed completely secure, but we work to protect your data and to respond promptly if something goes wrong.

9 Cookies, children and other sites

This website uses a small number of cookies and similar technologies. How they work and how you can manage them is explained in our Cookie Policy.

Our services are aimed at organisations, not individuals in a personal capacity, and this website is not directed at children. We do not knowingly collect data relating to children.

The website contains links to other sites, such as our LinkedIn page or partner sites. We are not responsible for the privacy practices of those sites, and we encourage you to read their policies.

10 Changes to this policy

We may update this policy from time to time to reflect changes in how we work or in the law. When we do, we will change the date at the top of the page. Where the change is significant, we will take reasonable steps to let you know.
